# Merchant access overview

> Understand what you can see and do when you log in to the Payabli Portal for your paypoint

Your paypoint is your access point to Payabli: a payment portal scoped to your business. Your day-to-day work splits into two tracks: Pay In for money coming in from customers, and Pay Out for money going out to vendors. You set up the records behind each (customers and invoices, vendors and bills), collect or send payments against them, and report on all of it from the same place. Pay Ops rounds this out with paypoint-level administration, like managing other users.

Haven't logged in yet? After boarding, your payment solution provider sends you an invite to the Payabli Portal. Follow [Create your Payabli user account](/guides/platform-portal-user-account-create) to finish setup.

## What you see when you log in

Your dashboard shows your paypoint's activity: transaction volume, counts, and recent activity for your business.

The sidebar splits into [Pay In, Pay Out, and Pay Ops](/guides/platform-payabli-three-ps-overview). Every report, record, and quick action you see scopes to your business, and anything you create — a customer, an invoice — defaults to your paypoint. See [Navigate the Payabli Portal](/guides/platform-portal-navigation-overview) for a walkthrough of the sidebar, search, and quick actions.

## Customers, vendors, invoices, and bills

Pay In starts with your customers and what they owe you:

* See [Manage customers](/guides/pay-in-portal-customers-manage) to track who owes you and their payment history.
* See [Create and send invoices](/guides/pay-in-portal-invoices-create) to bill a customer for what they owe you.

Pay Out starts with your vendors and what you owe them:

* See [Manage vendors](/guides/pay-out-portal-vendors-manage) to track who you owe and their payment details.
* See [Create a bill](/guides/pay-out-portal-bills-create) to record what you owe a vendor before you pay it.

You'll reference these records throughout the portal — the Virtual Terminal, reports, and disputes all tie back to a customer, vendor, invoice, or bill.

## Virtual Terminal

The Virtual Terminal is your tool for collecting or sending payments directly, with or without an invoice, in one flow. See [Create a transaction (UI)](/guides/pay-in-portal-transactions-create#virtual-terminal) for the full walkthrough.

![Virtual Terminal Request Payment form set to a one-time sale, with fields for the amount, an optional invoice number, a customer, and a payment method — credit or debit card, ACH, device or terminal, or remote deposit capture](https://fdr-prod-docs-files-public.s3.us-east-1.amazonaws.com/payabli.docs.buildwithfern.com/f538b331305e3928224cc0d8819af595ca403a13a7458f62524416895674fe38/images/portal-virtual-terminal-request-one-time.png?X-Amz-Algorithm=AWS4-HMAC-SHA256&X-Amz-Content-Sha256=UNSIGNED-PAYLOAD&X-Amz-Credential=AKIA6KXJSKKNFOCF7G4B%2F20260901%2Fus-east-1%2Fs3%2Faws4_request&X-Amz-Date=20260901T235227Z&X-Amz-Expires=604800&X-Amz-Signature=8a40abacfd575a8f4e670868685480da34ea781149fb9852b326ace76d884d7e&X-Amz-SignedHeaders=host&x-amz-checksum-mode=ENABLED&x-id=GetObject)

Beyond one-time charges, you can set up an [autopay](/guides/pay-in-portal-autopays-create) for a customer's recurring charges, or pay a vendor directly instead of creating a bill first — see [how a bill reaches a payout](/guides/pay-out-bills-lifecycle#a-payout-settles-the-bill) for how that fits into the payout process.

## Reports and disputes

Most of your data lives in reports — filterable tables you can search, filter, and export, with each row opening into the full record. See [Manage Pay In transactions](/guides/pay-in-portal-transactions-reports) and [Manage Pay Out transactions](/guides/pay-out-portal-transactions-reports) for a tour of the reporting interface, including customizing columns, filtering, and exporting. You can also build your own with [custom reports](/guides/pay-ops-portal-custom-reports-manage), or schedule one to run and deliver automatically with [automated reports](/guides/pay-ops-portal-automated-reports-manage).

Disputes and returns need your response as they come in. See [Find and review card disputes](/guides/pay-in-portal-card-disputes-find) and [Manage ACH returns](/guides/pay-in-portal-ach-returns-manage) for how to respond and what evidence to submit.

## Roles and administration

Roles at your paypoint follow a four-tier hierarchy: Viewer, Member, Manager, and Admin, each including the permissions of the tier below it. See [Roles and permissions](/guides/pay-ops-roles-permissions-overview) for what each role can do, and [Manage your profile](/guides/platform-portal-user-profile-manage) to check your own.

If you're an Admin or Manager, you can invite and manage other users at your paypoint — see [Manage users](/guides/pay-ops-portal-users-manage). Admins can also configure [notifications](/guides/pay-ops-portal-notifications-manage) for payment, payout, and boarding events.
