If you manage payment devices, use the Devices report to keep track of the devices you have access to. See whether each device is ready to take payments, review how many transactions it has processed and their total volume, and activate, rename, or deactivate devices as your needs change.

You need the Admin role to generate activation codes and to rename, deactivate, or unregister devices. The Manager and Member roles can view the report, device details, and each device’s transactions. To learn more, see User roles overview.

Find devices

Navigate to Pay In > Devices to open the Devices report. If you’re at the organization level, navigate to Pay In > Devices > All Devices. To learn how the two levels of access differ, see Access points.

The report lists the devices you use to take card-present payments, such as AXIUM devices (Payabli’s semi-integrated line) and Tap to Pay (SoftPOS) devices. AXIUM devices show a Device Type of Semi-Integrated. You start their transactions from your point-of-sale (POS) system or the Payabli Portal, and Payabli sends them to the device.

To narrow the report, click Filters. These filters are the most useful for troubleshooting and cleanup:

  • Device Status: find devices that are inactive, still waiting to be activated, or replaced.
  • Device Type: show only one kind of device, such as semi-integrated devices.
  • Last Health Check: find devices that haven’t checked in for a while.

Some columns are hidden by default. To show them, click Columns and turn on:

  • Last Health Check: when the device last checked in. If a device hasn’t checked in for a while, it might be powered off or disconnected.
  • Device ID: the device’s unique identifier. Have it ready when you contact support.
  • Registered Date and De-Registered Date: when the device was added and when it was removed.
  • MAC Address: the device’s network hardware address, which your IT team might need to allow the device on your network.

To download the report, click Export.

View device details

To see a device’s details, click its row, or click its three-dot icon and select View Details. The panel has Information and Transactions tabs. AXIUM devices also have a History tab. The three-dot icon in the panel has the same actions as the report, so you can act on the device without leaving its details.

The Information tab shows details about the device and about the paypoint it’s registered to.

The map on the Information tab shows the paypoint’s address, not the device’s location.

The Transactions tab shows the Transactions report filtered to this device, with all the same filters and columns. Use it to check whether the device has been taking payments, or to spot a run of declines. To learn more about the report, see Manage Pay In transactions (Portal).

The History tab lists the actions taken on the device, such as activating, deactivating, or unregistering it, with who took each action and when. Use it to find out why a device stopped taking payments. To open it from the report, click the device’s three-dot icon and select View History.

Device statuses

The report shows two statuses for each device. Device Status tracks the device’s lifecycle, such as whether it’s active, deactivated, or unregistered. Status shows whether the device can take a payment request right now. A payment request is the sale your POS system or the Payabli Portal sends to the device. The device then prompts the customer to pay.

These are the values of Device Status:

Device StatusMeaning
ActiveThe device is set up to take payments. To see whether it can take one right now, check Status.
InactiveThe device was deactivated. It can’t start new sales or authorizations until you activate it again.
PendingA Tap to Pay (SoftPOS) device is registered but hasn’t been activated yet.
SupersededThe device was replaced by a newer device or a new installation and is no longer in use.
UnregisteringThe device was unregistered and finishes when it next connects. It can’t take payments.
UnregisteredThe device was removed from its paypoint and can’t take payments. To use it again, activate it with a new activation code.

These are the values of Status:

StatusMeaning
OnlineThe device is available to take a payment request.
BusyThe device is handling a request, such as a payment, and can’t take another until the request finishes or times out.
OfflineThe device can’t take payments because it isn’t active. Check Device Status.

Rename a device

Give a device a name your team recognizes, such as the counter or lane where it sits. You can also add a description, which appears under the name in the report. If it’s cut off, point at the name to see all of it.

  1. Click the device’s three-dot icon and select Rename Device.
  2. Update the Device name, Device description, or both.
  3. Click Save.

Register a new device

How you register a new device depends on its type:

Deactivate or unregister a device

Deactivate a device to stop it from taking new sales and authorizations, such as when it’s lost or out of service. The device keeps its credentials and history, so you can activate it again later.

  1. Click the device’s three-dot icon and select Deactivate Device.
  2. Click Deactivate to confirm.

The device’s Device Status changes to Inactive and no longer appears in the device list when you take a card-present payment.

Activate a deactivated device

To let a deactivated device take payments again:

  1. Click the device’s three-dot icon and select Activate Device.
  2. Click Activate to confirm.

The device can take new sales and authorizations right away. You don’t need a new activation code.

Unregister a device

Unregister a device to remove it from its paypoint, such as when you retire it or move it to another paypoint. You can unregister AXIUM devices only. To stop a device from taking payments for a while, deactivate it instead.

You can’t undo unregistering a device. To use the device again, activate it with a new activation code.

  1. Click the device’s three-dot icon and select Unregister Device.
  2. Click Unregister to confirm.

The device stops accepting commands right away. Its Device Status changes to Unregistering. The next time the device connects, it finishes unregistering. The status then changes to Unregistered.

If the device is offline or lost, it can’t connect to finish, so it stays Unregistering. Force Unregistration is available only for a device in this state. To finish unregistering it without the device, click its three-dot icon, select Force Unregistration, and click Force Unregistration to confirm. This revokes the device’s credentials right away. The status changes to Unregistered.

Use Force Unregistration only for a device you no longer have. A force-unregistered device can’t be activated again. If you still have the device, contact support to get it working.

Move a device to another paypoint

To move an AXIUM device to another paypoint, unregister it from its current paypoint, then activate it on the new one. The device gets new credentials when you activate it again.

  1. Unregister the device from its current paypoint.
  2. Keep the device powered on and connected until its Device Status changes to Unregistered. Don’t use Force Unregistration for a device you still have. The device must connect to clear its own registration.
  3. Activate the device on the new paypoint with a new activation code. To learn more, see Activate an AXIUM device (Portal).
